Configuring Outlook for "POP" E-Mail

Using the Post Office Protocol (POP) function of Outlook allows you to receive and send email from various servers.  Follow these steps to configure Outlook to access your account.

  1. In Outlook Express go to Tools, then select E-mail Accounts from drop down menu options.

  2. The E-mail Accounts wizard opens to guide you through the configuration.   In the E-mail Accounts box, select Add a new e-mail account.  Click Next.

  3. For Server Type, select POP3.  Click Next.

    • In the Your Name text box, enter your full name as you wish it to appear in your e-mail correspondence (this is what recipients will see)..

    • In the E-mail Address text box, enter your new e-mail address.

    • For Incoming mail server (POP3), enter mail.yourdomain.com

    • The Outgoing mail server (SMTP) should be mail.yourdomain.com

    • At the Password field, type in your password we have allocated to you, or if you had used Control Panel to set up the mail box, then type in the password you created. Tick the option for Remember password

  5. Optional:  If you have several e-mail clients configured, for instance e-mail set up at home and the office, you may wish to leave a copy of your e-mail messages on the server so that each e-mail client lists all your e-mail.  Click More Settings and select the Advanced tab from the Internet E-Mail Settings box.  Select Leave a copy of messages on the server.  Click OK.

  6. Click Next in the Internet E-mail Settings (POP3) box.  The Congratulations window opens confirming your configuration.  Click Finish to complete your setup.

 

Composing and Sending an E-mail message

  1. To send a message, click New.  A New Message window opens.

  2. In the To field, type in the address of the person you're sending to or add an entry from your address book by clicking the To button.  If you want to send the same email as BCC click the To button and add the address to the BCC field.

    BCC is used for other recipients that you want the message sent to but you don't want the list in this field to be shown (i.e. if you put one person in the To field, ten in the CC field and 100 in the BCC field, all the receivers will only see the first eleven address listed).

  3. In the CC field (CC stands for carbon copy), type in the other recipients you want to receive your e-mail.

  4. Type the topic of the message in the Subject field.

  5. Type the body of the e-mail in the space provided.  Click Send.  A copy of your message is saved in your Sent Items folder.
